Manage Documents in Contract Management

Upload signed contracts, edit details, organize with folders, search, filter, and manage reminders.

Contract Management Overview

Contract Management is your centralized storage and organization hub for all signed contracts. Whether you've signed documents through GetAccept or uploaded externally signed agreements, Contract Management keeps them searchable, organized, and easy to manage. You can add metadata, organize with folders, track renewal dates, and extract key contract data automatically using AI.

Upload Externally Signed Documents

You can upload contracts that were signed outside of GetAccept to your Contract Management storage.

Note: Only signed documents should be uploaded to Contract Management for proper record-keeping.

This is useful if you have legacy agreements, documents signed via paper, or contracts signed through other platforms that you want to centralize in GetAccept.

Pro-tip: Uploading legacy contracts centralizes your agreements in one searchable location for easier access.

To upload an externally signed document:

  1. Navigate to the **Contracts** tab in the left sidebar

  2. Click the **Upload Document** button (top-right area)

  3. Select your file from your computer (PDF, Word, or other supported formats)

  4. Enter a document name

  5. Add optional metadata: owner, start date, end date, contract value

  6. Click **Save** to store the document in Contract Management

Once uploaded, the document appears in your Contract Management library. If you upload a PDF or Word document with structured contract data, GetAccept's AI can automatically extract key information , see the AI Contract Management section below.

Edit Document Metadata

Every document in Contract Management stores metadata that helps you organize, filter, and track important contract details. You can edit these details anytime.

Metadata fields you can edit:

  • Document Name , The title displayed in your library

  • Owner , Which user manages this contract (useful for delegation and filtering)

  • Start Date , When the agreement becomes effective

  • End Date , When the agreement expires

  • Contract Value , The monetary value of the agreement

  • Tags , Custom labels for categorization (e.g., "NDA," "SLA," "Enterprise")

To edit document metadata:

  1. Open a document from the Contracts tab

  2. Click **Edit** (or the edit icon)

  3. Update any field (name, dates, value, owner)

  4. Click **Save**

Start dates, end dates, and contract values are especially valuable for tracking renewals and calculating total contract value across your portfolio.

Search and Filter Documents

With potentially hundreds of signed contracts, searching and filtering keeps you focused on the documents you need.

Search by document name:

  1. In the Contracts tab, use the search box at the top

  2. Type the contract name, company name, or keywords

  3. Results appear instantly as you type

Filter by multiple criteria:

  • Status , Filter by Upcoming, Active, Expired, or Transactional (based on dates)

  • Tags , Select one or more tags to narrow results (e.g., show only "NDA" and "MSA" contracts)

  • Date Range , Filter by contract start date or end date

  • Value Range , Filter by minimum and maximum contract value

  • Owner , Show documents assigned to a specific team member

Filters work together , for example, you can find all Active contracts with tags "Enterprise" AND "Renewal Needed" signed between January and June with value over $50,000. This combination helps identify high-priority renewals and track your largest commitments.

Create and Organize Folders

Folders help you organize contracts by type, customer, department, or any structure that makes sense for your business.

To create a folder:

  1. In the Contracts tab, look for the **Folders** section

  2. Click **Create Folder** or the **+** icon

  3. Enter a folder name (e.g., "Customer Agreements," "NDAs," "2024 Renewals")

  4. Click **Save**

To move a document into a folder:

  1. Open a document or select it from the list

  2. Click **Move to Folder**

  3. Select the destination folder

  4. Click **Confirm**

To rename or delete a folder:

  1. Right-click the folder name or click the three-dot menu next to it

  2. Select **Rename** or **Delete**

  3. Confirm your action

Note: Deleting a folder does not delete the documents inside , they return to the main Contract Management view. You can move them to another folder afterward.

Add and Manage Reminders

Reminders alert you to important contract dates , renewal deadlines, expiration dates, or notice periods , so you never miss a critical action.

To add a reminder:

  1. Open a document in Contract Management

  2. Click **Add Reminder** or the reminder icon

  3. Select the reminder type: Renewal Date, Expiration Date, or Custom Date

  4. Choose how many days before the date you want to be notified (e.g., 30 days before expiration)

  5. Click **Save**

You'll receive an email notification on the specified date reminding you about the contract action needed. This is especially valuable for contracts with renewal clauses or notice requirements.

To edit or delete a reminder:

  1. Open the document

  2. Click the reminder

  3. Update the date or notification timing, or click **Delete Reminder**

  4. Click **Save**

Delete Documents from Contract Management

If you no longer need a document, you can delete it from Contract Management. Deleted documents can be recovered briefly, but permanent deletion is irreversible.

To delete a document:

  1. Select the document from the Contracts tab

  2. Click **Delete** (or the trash icon)

  3. Confirm the deletion

The document moves to a **Deleted** tab. You can restore it from there within a short window, or permanently remove it by deleting it again. After permanent deletion, the document cannot be recovered.

AI Contract Management: Automatic Data Extraction

GetAccept's AI Contract Management feature automatically extracts key contract data from documents you upload or send through GetAccept. This saves manual data entry and ensures consistent contract information across your portfolio.

What data the AI extracts:

  • Company names and parties to the contract

  • Start date and end date

  • Contract length and duration

  • Renewal type (Rolling, Fixed, Evergreen, or Transactional)

  • Renewal date and notice period

  • Notice date (when you must notify the other party to renew or cancel)

  • Contract value and payment terms

Renewal types explained:

  • Rolling , Auto-renews indefinitely until either party cancels

  • Fixed , Defined start and end dates; expires without active renewal action

  • Evergreen , Indefinite renewal; requires cancellation notice to end

  • Transactional , One-time agreement for a specific transaction or event

How to use extracted data:

  1. Upload or send a contract through GetAccept

  2. Navigate to the document in Contract Management

  3. Click **Review AI-Extracted Data** or the AI icon

  4. Review the extracted fields , they are pre-populated but editable

  5. Correct any misread data (dates, values, company names)

  6. Click **Save** to confirm the extracted data

Once saved, extracted data appears in document filters, renewal tracking, and analytics. This enables you to run reports on contract value, identify upcoming renewals, and spot contracts nearing expiration , all without manual data input.

If a contract is partially handwritten, scanned with poor quality, or in a language the AI doesn't recognize, some fields may appear as placeholders. You can fill these in manually and save the corrections.

Contract Management vs. Sent Documents

It's important to understand the difference between Contract Management and your Sent Documents list:

  • Sent Documents , All documents you've created and sent to recipients, whether signed or still in progress. These are tracked by status (Sent, Reviewed, Signed, Expired, etc.).

  • Contract Management , Only completed, signed contracts. This is your archive of final agreements, including externally signed documents you upload. Focused on storage, organization, renewal tracking, and contract portfolio management.

Once a document reaches "Signed" status in your Sent Documents list, it automatically appears in Contract Management. You don't need to upload it manually , it syncs automatically.
