Set up automatic reminders for contracts

How to set reminders once for your whole account, adjust them per contract type, and check the reminders on each contract.

Automatic reminders email a contract's owner before the contract expires or renews, so renewals and notice periods no longer depend on someone remembering. An admin sets the rules once, and every newly signed contract gets its reminders automatically. This article covers setting the rules, checking and adding reminders on a contract, what the email shows, and where the notes from your old reminders went.

Note: Automatic reminders are off until an admin switches them on. Until then, contracts won't get any automatic reminders.

Before you start

  • Plan: Contract Management is included on all plans and supports expiry reminders. Renewal reminders need AI Contract Management, an add-on for Professional and Enterprise plans.

  • Role: only admins can change the reminder settings. Saved changes apply to your whole entity.

  • Who can manage reminders on a contract: anyone who can open the contract, unless it's marked as private.

  • Contract types: to set reminders per contract type, your contract types need to be set up first.

  • Dates: reminders are based on the contract's dates. With AI Contract Management, the AI fills them in. Without it, add the contract end date before you send the contract.

Set your default reminders

  1. Go to Settings → Internal reminders.

  2. Under Default settings, switch on Before expiry, Before renewal, or both.

  3. Choose 30 days, 60 days, 90 days or Custom.

  4. To remind the owner more than once, select Add another expiry reminder and choose another timing. You can add up to 10 expiry and 10 renewal reminders.

  5. Select Save.

The defaults apply to every contract type that doesn't have its own settings. They're internal only and never shown to your recipients.

Set different reminders for a contract type

  1. On the same page, find the contract type under Per contract type.

  2. Switch on Before expiry, Before renewal, or both, and choose the timing.

  3. Select Save.

A contract type's own reminders take precedence over the defaults.

Pro-tip: Give contracts with long notice periods, such as customer agreements, earlier reminders than short ones like NDAs.

Check the reminders on a contract

With AI Contract Management

Open the contract in Contract mgmt and go to the Internal reminders tab. It lists every reminder that will be sent, with its Type, Date and Source, so you can see which are automatic and which were added by hand. The AI reads the contract's dates for you, and if it updates them later, the automatic reminders follow. For more on how dates are extracted, see AI Contract Management.

Without AI Contract Management

Open the signed document and go to the Document settings tab. Under Contract period, add the Contract end date and select Save. Once the contract has an end date, its reminders appear on the same tab.

Add a reminder by hand

  1. Open the contract's reminders: the Internal reminders tab with AI Contract Management, or Document settings without it.

  2. Select Add internal reminder.

  3. In Schedule internal reminder, pick the Date.

  4. Under Type, choose Expiration or Renewal.

  5. Select Add.

The reminder is emailed to the contract owner. A reminder is only sent if the contract has the date it depends on: an end date for an expiration reminder, a renewal for a renewal reminder.

Apply new settings or dates to a contract

Automatic reminders are created when a contract is signed. Changing your settings later doesn't update contracts that already have reminders. Reset a contract when your settings have changed, when it was signed before your rules were switched on, or when someone added or changed its end date after signing:

  1. Open the contract's reminders.

  2. Select Reset automatic reminders.

This rebuilds the automatic reminders from your current settings and keeps any manual reminders as they are.

What the reminder email shows

The contract owner gets an email with the contract name, the owner, the renewal or expiry date and the contract period, plus a View contract button that opens the contract. Renewal reminders arrive with the subject "Contract up for renewal" followed by the contract name, and include the notice deadline. You no longer write the reminder text yourself. Existing manual reminders keep their dates and now send this email.

Where your old reminder notes went

Reminders used to send whatever note you wrote when you set them. Those notes have been moved to Internal notes on the contract, so nothing was lost. With AI Contract Management, open the contract's Internal notes tab. Without it, open the document and go to Document settings.

Internal notes are a private place for your team's context on a contract and are never shown to recipients. Anyone who can open the contract can see its notes, unless the contract is marked as private. Notes can be deleted when you no longer need them.

Limitations

  • Reminders go to the contract owner only. They can't be sent to teams, managers, Slack or Microsoft Teams.

  • Only the first renewal is reminded. On rolling contracts, later renewal periods don't get a reminder yet.

  • There's no separate notice-period reminder. The notice deadline is shown in the renewal email instead.

  • Without AI Contract Management, reminders are expiry only. Uploaded PDFs need an end date and a reset before they get reminders.

  • With AI Contract Management, edits to automatic reminders may be undone. If you delete or change one, it may be reset to match your settings the next time the AI updates the contract details.

  • These aren't signing reminders. To remind recipients who haven't signed yet, see Configure template-level reminders.
