How to change the owner of a document

A guide on how to change ownership of a document at any stage, from draft to signed

Sometimes a document needs to move to a different owner, for example when a colleague is on holiday or has left the team. You can now change ownership at any point in a document's life: while it is a draft, while it is active or sent, and once it is fully signed. This guide shows you how for each stage.

Who can change ownership

Who can change a document's owner depends on the user's role:

  • Admins can change the owner of any document in the entity.

  • Managers can change the owner of any non-private document.

  • Regular users can change the owner of their own documents.

If your entity has "Restrict access to other users' data" turned on (Settings → Security & GDPR), one extra condition applies: managers and regular users can only transfer a document to a new owner who shares one of their teams. Admins are not affected by this.

What happens when you change the owner

  • The new owner starts receiving the document's notifications.

  • For active documents, the document is re-sent so recipients see the new owner as the sender.

  • The document's engagement stats and chat history follow to the new owner.

How to change the ownership of a document in a draft

  1. Open the draft and click the ellipsis menu (the three dots at the top right).

  2. Select Settings

  3. Choose the new owner

  4. Click Save

How to change the ownership of an active or sent document (for example Sent, Viewed or Reviewed)

  1. Open the document.

  2. Click the action menu (the three dots at the top right).

  3. Select Change owner.

  4. Choose the new owner.

  5. Click Save.

How to change the ownership of a signed document

  1. Open your document in GetAccept

  2. Select the Document settings tab.

3. Choose the new owner.

4. Click Save

Partially signed or recalled documents

If a document has already been partially signed, or has been recalled, ownership is moved through a guided recall and new-version flow rather than a direct swap. This keeps the document from being left in a broken state. Follow the prompts to recall the document and create a new version under the new owner.

Reassigning many documents at once

Changing ownership is done one document at a time. Reassigning everything a departing user owns in a single action is not currently supported. See What happens to active documents when you delete a user? for how documents are handled when a user is removed.
