File Analytics Overview

Track file downloads in your Deal Room and see which participants accessed which documents.

File Analytics helps you track how participants interact with the files shared in your Deal Room. You can see how many times a file has been downloaded and who downloaded it, giving you clear insight into buyer engagement.


What File Analytics Shows

1. Download count

Each file displays a Downloads number in the Files tab.
This is the total number of times the file has been downloaded by any participant.

2. Who downloaded the file

Clicking a file opens a details modal showing:

  • The total number of downloads

  • A list of participants who downloaded the file

  • The exact time each download occurred

This allows you to see which stakeholders have accessed key materials like pricing sheets, proposals, or product documentation.


Where File Analytics Appears

Files tab (per-file overview)

In the Files tab of a Deal Room, you’ll find:

  • All uploaded files

  • Download count for each file

  • A per-file download history when you open the file’s modal

This is the main place to review file engagement at a glance.

Analytics → Timeline (download events)

Every file download also appears as an event in the Timeline under Analytics.

Each timeline entry shows:

  • Who downloaded the file

  • The exact timestamp

  • The file name

This gives you a chronological view of engagement across the entire room.


How to Access File Analytics

From the Files tab

  1. Open a published Deal Room.

  2. Go to the Files tab.

  3. Click on a file to open its download history modal.

From Analytics → Timeline

  1. Open Analytics in the top-right corner.

  2. Select Timeline.

  3. Look for events labeled Downloaded a file.


When to use File Analytics

Use File Analytics to:

  • Confirm that key buyers have downloaded essential documents

  • Track revisits to important files during negotiations

  • Identify if stakeholders missed critical information

  • Prepare for meetings with insight into what has already been reviewed


Notes

  • Only file downloads are tracked (not previews or opens).

  • Download data is recorded for all participants, including internal collaborators.

  • Deleted files keep their download history.

  • Upload actions also appear in the Timeline.
