Managing your team's access ensures the right people have the tools they need while keeping your license count optimized. This article covers adding new users and managing their status to maintain a smooth workflow.
Add a new user to your entity
To invite a new team member, you first need to ensure you have enough available licenses in your subscription.
Go to Settings in the top right corner and select Manage users.
Click on Invite User +.
Enter the new user's email address.
Select the appropriate Role for the user Administrator, Manager, or User. Learn more about the roles here.
Ensure Send Verification Email is toggled ON if you want them to receive the invite immediately.
Click Invite.
Pro-tip: If you aren't ready for a user to log in yet, you can toggle the invitation email OFF. This adds them as a Pending user without consuming a license or sending an email until you are ready.
Understand user statuses and licenses
A user's status determines whether they can access GetAccept and if they occupy a paid license.
Active: The user has full access and occupies one license.
Pending: The user is added but hasn't accepted their invite. They do not count toward your license limit.
Deactivated: The user cannot log in, and their license is released for someone else.
Free up a license (Deactivation)
If you need to invite a new user but have reached your license limit, you can deactivate a former team member to free up a seat.
Go to Settings and select Manage users.
Find the active user you wish to remove and click the three dots (⋯) next to their name.
Select Deactivate.
Once deactivated, the license is immediately released for reassignment.
Note: If the user belongs to multiple entities, they must be deactivated or removed from every entity to fully free the license across your account.
Important security and access tips
Administrator Safety: Never deactivate your account's last administrator. Ensure another active user has admin privileges first.
Document Retention: When a user is deactivated or removed, their signed documents are always preserved and remain accessible to administrators.
Check Subscription: You can verify your total license count by going to My Subscription. If you need more seats, you can add them directly in Manage Users Settings.
