How to open exported report data in Excel

Import and open CSV report exports from GetAccept into Excel with proper formatting.

Export report data from GetAccept

GetAccept's Reports section allows you to export data in CSV format, which you can then open and analyze in Excel. CSV (comma-separated values) files preserve your report data in a structured format that Excel can read and format.

Note: CSV files may lose some formatting when opened in Excel, so verify your data displays correctly.

What you can export: You can export data from any of GetAccept's report types, including Summary reports, Hit Rate Insights, Activity reports, and Organization reports. Each export contains the metrics, filters, and date ranges you've selected in the Reports view.

How to export a report as CSV

  1. Navigate to the Reports section in the left sidebar.

  2. Select the report type you want to export (Summary, Hit Rate Insights, Activity, Organization, or other available reports).

  4. Look for the Export or Download button (typically in the top-right corner of the report view).

  5. Select CSV as the export format.

  6. Click Export , the file will download to your computer as a .csv file.

Note: The exported filename will reflect the report type and date range (e.g., Activity_Report_Jan_2025.csv).

Open the CSV file in Excel

Once you've downloaded the CSV file, you can open it in Excel using the import wizard. This process allows you to specify how Excel should interpret the data structure.

  1. Open Microsoft Excel.

  2. Click FileOpen.

  3. Navigate to the CSV file you downloaded and select it.

  4. Click Open , Excel will launch the Text Import Wizard.

Configure delimiter settings in the import wizard

The Text Import Wizard helps Excel understand how to separate columns in your CSV file. The delimiter is the character (comma, semicolon, or tab) that marks the boundary between data fields.

  1. In the wizard's Step 1 screen, verify that "Delimited" is selected (not "Fixed width").

  2. Click Next to proceed to delimiter selection.

  3. In Step 2, check the box next to the delimiter used in your file:

    • Comma , most common for US-based reports

    • Semicolon , common in European locales where commas are decimal separators

    • Tab , if your CSV uses tab characters

  4. The preview pane at the bottom will show how your data will be split into columns. Verify that columns align correctly.

  5. Click Next to review column data types (usually you can leave defaults).

  6. Click Finish , your report data will now appear in Excel with proper column separation.

Pro Tip: If you see the preview showing misaligned columns, you may have selected the wrong delimiter. Go back and try a different option (comma vs. semicolon is the most common issue).

Check data integrity after import

After the import completes, verify that all your data imported correctly before working with it.

  • Column headers , confirm that the first row contains the correct column names (Document, Owner, Value, Status, etc.).

  • Column widths , some columns may appear too narrow. Double-click the column separator line to auto-fit column width to the content.

  • Row count , check that the number of rows matches what you expected from the report. If you notice missing rows, the delimiter may be incorrect , repeat the import process.

  • Data types , dates, numbers, and text should appear correctly. If dates show as numbers (e.g., "45300" instead of "Jan 15, 2024"), see the troubleshooting section below.

Fix common formatting issues

Dates displaying as numbers: Excel sometimes imports dates as serial numbers. To fix this:

  1. Select the column containing dates.

  2. Right-click and select Format Cells.

  3. In the Number tab, select Date from the Category list.

  4. Choose your preferred date format and click OK.

Special characters displaying incorrectly: If accented characters or symbols appear as gibberish, the encoding may not have imported correctly. Repeat the import and ensure the wizard's encoding setting (usually shown in Step 1) matches your file's encoding , typically UTF-8.

Columns appearing merged or truncated: If data from multiple columns appears in a single cell, you selected the wrong delimiter in the wizard. Close the file without saving, re-download the CSV, and repeat the import process with the correct delimiter.

Work with your imported report data

Once your data is properly imported into Excel, you can filter, sort, and analyze it using Excel's built-in tools.

  • Apply filters , select the header row, then click DataAutoFilter. Dropdown arrows will appear in each column header, letting you filter by value, date range, or status.

  • Sort data , click any column header and use DataSort A to Z or Sort Z to A to organize by that column.

  • Freeze header row , click the first cell below the headers, then ViewFreeze Panes. This keeps column names visible as you scroll down through large datasets.

  • Highlight key metrics , use DataConditional Formatting to highlight cells meeting certain criteria (e.g., all "Signed" status cells in green).
