How to build a Room Template

When building a Deal Room template, it's essential to organize your content into three main categories: Default content, Variable content, and Custom content. Each category plays a specific role in ensuring your sales process is both structured and flexible, allowing you to tailor the experience for different prospects

Room template

Default content: This refers to the information that is consistently shared throughout the sales process. It remains the same across all prospects and should be added directly into the template.

Content resources

Variable content: Content that varies based on the type of prospect, such as industry, company size, or product needs. Ideally, all variable content should be accessible as a Content Resource for your reps to use in different scenarios. Make use of the Content Resource placeholders in the template to guide your reps to the appropriate variable content.

Placeholder

Custom content: Unique content created specifically for an individual prospect. Examples include personalized videos, discovery findings, business cases, etc. Use Placeholder elements in the template to indicate where reps should add custom content. You can also create "micro templates" as Content Resources to assist reps in generating custom content effectively.

The Placeholder elements are located within the editor builder in your templates. Check out the element list further down in the article.


We will focus on how to build a Room template: Click Room Template in Create new.


Let's start with navigate trough the new Room template you created.

Pages & Sections

  • Pages are used to logically group your content at a top level, typically aligning with the sales process and the order in which you want your buyer to engage with the content. For example: Introduction → Discovery → Products → Business Case → Proposal → Contract.

  • Sections are used to contextually group content within a page, making it easier for your buyer to process and navigate.

Page settings

  • Hide Page allows you to control which pages are available in a room created from the template - determining what you want your buyer to see initially. Hide the pages that should be presented later in the process to avoid overwhelming the buyer. Your sales rep can easily unhide them when the buyer is ready to access more information.

  • Set as focus page highlights a specific page in the document, drawing the recipient's attention to it by making it the default page they see when they open the document. This helps ensure the participant focuses on the most important or relevant content first.

  • Save page as content resource allows you to save a specific page from a document as a content resource. This saved content can be added to the content library, making it easily accessible for future use in other Deal Rooms or sales processes.

Section settings

  • Hide section allows you to make specific sections of a room hidden to the participant, ensuring they only see the content you want to share while keeping other pages hidden for internal use or later reference. Hidden sections can be unhidden in published rooms.

  • Save section as a content resource allows you to save a specific section from a document as a content resource. This saved content can be added to the content library, making it easily accessible for future use in other Deal Rooms or sales processes.


Content creation

The Editor is a feature that allows users to create, modify, and customize the content of your sales collateral directly within the Deal Room.

Use this element to add images to your room.

Upload a video from your computer, record it, or add a link to a video.

Use this element to separate different parts of your section. Read more about it here.

Show you where you can upload or insert a video. This is useful for sharing promotional content, product demos, or personal messages with clients or team members.

This is where you can upload or insert a slideshow presentation. This is useful for sharing visual presentations, product overviews, or detailed proposals with clients or team members

Here you can add text and images in the view of columns. Read more about it here.

Use this element to add an image and text in the same row of your section. Read more about it here.

Add a URL to create a link element.

This element allows either recipients or senders to type text into the field. Read more about it here.

This field allows the sender to add a dropdown list, with choices for the recipient to choose from. Read more about it here.

This field allows the recipients or senders to click and check a box on a certain selection. Read more about it here.

Allows the participant to enter an email address into a text input field, ensuring it has the correct email format with appropriate credentials.

Allows the participant to enter a date into a text input field, ensuring it follows the correct date format.

Upload a file presented as a slideshow to your content. Allowing you to switch easily between pages instead of having to scroll.

Browse Content Resources allows you to explore a library of pre-uploaded sales materials, such as documents, videos, or presentations. This feature helps sales teams quickly find and add relevant content to their Deal Rooms, making it easy to customize and enrich the sales process with the right resources at the right time.

Placeholder

Placeholder: Resources are predefined placeholders within a template that guide sales reps on where to insert specific content, such as documents, videos, or links.

Placeholder: Video refers to a designated space within a template or document where a video can be inserted. This placeholder serves as a reminder or prompt for you to add a video later, helping you customize the content by including relevant videos, such as product demos or personalized messages, before publishing the rooms to participants.

Placeholder: Slideshow refers to a designated space within a template or room where a slideshow can be inserted. This placeholder allows you to add a presentation or sequence of slides later, helping you structure and customize the content before sharing it with the participant.



Room template settings

To set and access your Template room settings simply click on Settings at the top.

Public/Private allows you to make the template available to all users in the entity. If not selected, only the entity’s admins and template creator can see the template.

General settings

  • Name: The template name is for internal use only. When the template is selected for use in a published Deal Room, you can choose a different name.

  • Reminders: Will notify participants who have not yet visited the room.

Availability

  • Room access: When the template is used in a published Deal Room, you can choose whether the room will have restricted access for invited participants only or be open to anyone with the universal link.

Functionality

  • Here you can preset which room features will be available in newly created rooms from the template. Your end user can enable additional features gradually as the process unfolds and the buyer’s needs evolve.
