Understanding Document Statuses in GetAccept

List of different statuses shown on document/recipient level

Throughout a document’s lifecycle in GetAccept, different statuses help you track its progress. Below is an overview of what each status means and what actions (if any) might be needed.

Document Statuses in GetAccept

Draft

A document is created and prepared for sending but has not been sent yet.

Sent

The document has been sent to the recipient(s) but has not been opened.

  • This status remains until at least one recipient opens the document.

Viewed

The document has been opened but not fully reviewed.

Reviewed

The recipient(s) has fully reviewed the document.

Lost

Lost

You have marked the document as lost, for example because the deal was lost. Only you or a colleague can do this; it never happens automatically. Signed documents can also be marked as lost.

Rejected

A signer or approver declined the document. The signing flow stops and you are notified, including the reason if one was given.

If the recipient is part of a signing group and the rest of the group can still provide the signatures needed, the document stays open.

Both Lost and Rejected documents are shown in the Inactive tab.

Recalled

The document was deleted by the sender or replaced with a new version.

Importing

Importing

An uploaded file is being converted into a document. This usually takes a few seconds, after which the document becomes a draft (or is sent automatically, if it was created that way).

Processing

The document is being prepared for sending after you clicked Send. This usually takes a few seconds.

If a document stays in Importing or Processing, contact our Support team.

Sealed

The document has been locked for sending. Every document passes through this status briefly when it is sent.

If you chose “Share document link”, no email is sent, so the document stays Sealed until someone opens the link; it then changes to Viewed.

Verified

Seen in the Detailed Event Log before “Signed” when a verification method was used.

  • Examples: Handwritten signature or eID verification.

Signed

All signers have signed the document. Viewers don’t sign, and in a signing group, members who are no longer needed once enough people have signed are not required to sign.

Everyone receives the signed copy.

Added

A status displayed next to recipient(s) when the sender shares the document link.

Waiting

Seen next to recipient(s) in a signing order.

  • This occurs when a signing order is in place, and the document is waiting for the next signer.

  • If stuck in Waiting and not progressing, check whether an earlier recipient in the signing order has hard-bounced. If not, please contact support.

Hard Bounce

Shown next to a recipient when the email to them could not be delivered and was permanently rejected by their mail server, for example because the address does not exist.

Only the bounced recipient is affected. The document keeps its current status and stays active, so other recipients can still view, approve and sign it, and any signatures already given stay valid. In the document list, the document shows a bounce chip and the bounced recipient is shown in red. If the recipient also received the document by SMS and it was delivered, they are not marked as hard-bounced.

If the document has a signing order, the bounced recipient keeps their place in it. Recipients after them stay in Waiting until the address is fixed and the bounced recipient has signed.

To fix it, open the document, edit the email address of the bounced recipient and send it to them again. Only that recipient receives the document, and the signing flow continues from them. Reminders are not sent to an address that bounced.

Older documents may still show Hard Bounce as a document status.

Important Notes on Tracking & Privacy

Viewers at the end of a signing order

If Viewers come after the last signer in a signing order, they don’t receive the signing invitation. Once all signers have signed, the document is complete, and these Viewers receive the signed copy by email. Their status then changes from Waiting to Sent.

If you want Viewers to follow the document while it is being signed, place them earlier in the signing order.
