Manage and organize your Deal Rooms from the Rooms list

Learn how to use the Rooms list to monitor activity, manage Deal Rooms, filter your workspace, and take actions such as updating ownership or deleting rooms.

Overview of the Rooms list

The Rooms list is your central workspace for managing all your Deal Rooms.

From this view you can:

  • See which rooms are active or inactive

  • Monitor participant activity and engagement

  • View contracts linked to each Deal Room

  • Filter and organize rooms using saved views

  • Perform actions across multiple rooms at once

This helps you quickly understand what is happening across your deals without opening each room individually.



Understand the room lifecycle tabs

Rooms are organized into four tabs that reflect their lifecycle and activity level.

Drafts

Draft rooms that have been created but not yet published.


Active

Rooms with buyer or seller activity within the last 30 days.

Idle

Rooms that have not had activity within the last 30 days.

Deleted

Rooms that have been deleted.

Note: Deleted rooms remain available for 30 days, during which they can still be restored. After 30 days they are permanently removed.



Understand the information shown in the Rooms list

Each row in the Rooms list shows key information about a room so you can quickly understand its status.

Room name and status

The room name appears in the first column.

Below the name you will see the room status, such as:

  • Published

  • Unpublished

This allows you to quickly see whether the room is live.



Owner

The Owner column shows the primary room owner.

If multiple collaborators are involved, a count is shown next to the owner name (for example +2), indicating additional collaborators managing the room.



Participant activity

The Participant activity column shows recent engagement in the room.

This includes:

  • The most recent action (for example Visited the room again)

  • The participant who performed the action

  • The date of the activity

This helps you quickly identify rooms that may require follow-up.


Contracts

The Contracts column displays contracts linked to the Deal Room.

You can see:

  • The contract name

  • Contract status indicators

This makes it easier to identify rooms associated with active or pending agreements.


Filter and organize rooms

If you manage many rooms, filtering helps you narrow down your list.

You can filter rooms based on different criteria and refine the view to match your workflow.

Save filtered views

After applying filters, you can save them as reusable views.

Saved views allow you to quickly return to commonly used room lists, such as:

  • Active deals with contracts

  • Idle rooms that need follow-up

  • Rooms owned by your team

This helps teams maintain a consistent way of organizing Deal Rooms.



Perform actions on multiple rooms

You can perform actions on multiple rooms directly from the Rooms list.

To apply bulk actions:

  1. Select the rooms you want to update.

  2. Choose the action you want to perform.

Available bulk actions include:

  • Changing the room owner

  • Unpublishing rooms

  • Deleting rooms

Bulk actions help reduce manual work when managing many Deal Rooms.



Use the Overview to see room insights

From the Rooms list, you can open the Overview for a room to quickly access key information.

The Overview provides a snapshot of the room, including:

  • Room details

  • Linked contracts

  • Engagement insights

  • Action plan progress

It also provides shortcuts to common actions such as:

  • Opening the room

  • Messaging participants

  • Navigating to the connected CRM

This allows you to quickly understand the room’s current status and decide what to do next.
