Deal Room Automation with HubSpot Workflows

Enable GetAccept actions for Deal Rooms based on HubSpot events when working with Workflows.

Create a Workflow with HubSpot

We will create a simple workflow that creates a published Deal Room with GetAccept and adds up to two recipients that are linked to the HubSpot Deal.

  1. Log in to your HubSpot

  2. Select Worfklows from the Automation menu

  3. Click Create workflow and select From Scratch

  4. Select the trigger that will start the workflow

  5. For testing purposes, let's select Manually trigger only

  6. Select the HubSpot record (object) that the manual trigger workflow is working with

    1. Note: Currently GetAccept actions are only supported for HubSpot's Deal object. We will enable additional objects in the short term

  7. Configure your first action

  8. Under Integrated apps, expand GetAccept

    1. 7 actions will be visible

  9. Select the Create Draft Deal Room action

    1. This action creates a draft Deal Room from GetAccept

  10. Enter Deal Room Name that should be used for the DR that created

    1. Note: You can use available properties to define the name

  11. Enter the Sender email for the document that will be sent

    1. Sender email must be linked to an active GetAccept entity

  12. Select GetAccept Entity to be used for the Deal Room

  13. Select Template to be used for the Deal Room

  14. Click Save

  15. Click + below the Create Draft Deal Room action

  16. From Integrated apps, select the Publish Deal Room action from GetAccept

    1. If you don't wan't the Deal Room to be published, you can skip this step. Deal Room will be in draft state and available from the linked HubSpot deal for users to open, update, and publish manually.

    2. Deal Room being published at this state will not include any external participants

  17. Enter the Sender email used previously

  18. Enter the Revision message

  19. v

  20. Click + below the Publish Deal Room action

  21. Select Delay as the action

    1. We are adding a delay to ensure that the draft or published Deal Room is created and an ID is associated to the DR. This ensures we are able to add participants if needed in the workflow.

  22. Select For a set amount of time for the Delay

  23. Set a delay of at least 2 minutes

  24. Click + below the Delay action

  25. From Integrated apps, select the Add participants to Deal Room action from GetAccept

    1. Up to two linked contacts from the HubSpot Deal will be added as participants to the Deal Room

    2. Note: Participants & Collaborators can be added to the Deal Room manually from the integration as needed

  26. Enter the previously used Sender Email

  27. Select Deal Room ID property to use for the Deal Room ID field

  28. Check Invite participants to add linked contacts from the HubSpot Deal that triggered this workflow

    1. Only two linked contacts will be added as Deal Room participants

  29. Check Send invitation email if you want invited participants to receive notification they have been added to the Deal Room

    1. Participants can be notified later manually or from the integration

  30. Click Save

  31. Click + below the Add participants to Deal Room action

  32. From Integrated apps, select the Get Deal Room Details action from GetAccept

    1. This is to allow us to fetch details of the created & published Deal Room and to create a note or other follow up action in the workflow

  33. Enter the previously used Sender Email

  34. Select Deal Room ID property to use for the Deal Room ID field

  35. Click + below the Get Deal Room Details action

  36. Select the Create note action under CRM

    1. This is an optional step, other actions could be selected instead

  37. Fill out the desired note body and include variables from previous Actions Outputs

    1. In this example, Deal Room Name and Universal link have been used for the note that will be created

  38. Click save and test the workflow
