Deal room roles and features enable GetAccept users to manage multiple internal and external stakeholders within a Deal room.
How to use
Add collaborator
Go to a Room
Click Manage participants up in the right corner
Click Open Settings to add collaborators
Select which of the users on the entity you’d like to add as collaborators to the room from the dropdown
The selected Collaborator will be notified via email with a link to the room
Remove collaborator
Go to a Room
Click Manage participants up in the right corner
Click Remove from room next to the Collaborator you want to remove from the room
Historic chat conversations, Comments threads or other activity of that collaborator will remain with an indicator that the user is now inactive
The user will no longer receive notifications
Direct message conversations with the user will be locked, but readable
Changing Room owner
Go to a Room
Click Manage participants up in the right corner
Click Open Settings to add collaborators
Select which of the users on the entity you’d like to add as Room owner to the room from the Room owner dropdown
Choose if the former Room owner should stay in the Room as a Collaborator or be removed
PSA: For live rooms where you've already added colleagues as participants, avoid replacing them with collaborators to prevent any complications. We recommend using the feature in new rooms instead!
Roles explained
Room owner
The room owner is responsible for driving the deal and is the only one who can make significant changes to the room that impact the buyer experience. They also control when to move the deal forward.
There can be only one Room owner
The Room owner has full access to all features and settings in a room
The Room owner gets all notifications of activity in their room
Only the Room owner can publish content
Only the Room owner can publish Updates posts
Only the Room owner can publish an Action plan
Users being added to a room as a Room owner by another users, will get an email notification of the event
Collaborator
The Collaborator role is there to support the Room owner in progressing the deal by interacting with the buyer and help contribute with content to present.
The Collaborator is publicly available to the buyer participant in a room
The Collaborator can communicate freely using the Chat and Comments features
The Collaborator can add and edit content to a room, but not publish it
The Collaborator can help create and assign the Action plan
The Collaborator can remove themselves from the room
The Collaborator can add other collaborators to the room
The Collaborator can invite, remove and edit Buyer participants
The Collaborator only receives notifications for room events that are directly relevant to them
The Collaborator can’t publish content
The Collaborator can’t change the room settings
The Collaborator can’t use the Updates feed
The Collaborator can’t publish an Action plan
Users being added to a room as a Collaborator by another users, will get an email notification of the event
Admin
Admins are the only GA users who can interact with a Deal room without being added as a Room owner or Collaborator. This allows them to control entity objects and help users progress deals in any situation
Non-room user
To enable colleague coaching and knowledge sharing, non-room GA users can view all rooms they have access to in a view-only mode but cannot interact with them in any way.
Buyer participant
The buyer participant role in a room is strictly for external stakeholders and should never be used to add GA users from the same entity as the room.
