Create and manage signing groups

Allow anyone in a pre-defined group to sign contracts

Signing groups let you set how many people from a group need to sign a document. Add the signers who can sign on a deal, choose how many signatures are required, and send. Once enough people have signed, the document moves forward and the rest of the group is marked as no longer required.

This article explains how to create and manage signing groups, and what signers and senders see once the document is out.

How signing groups work

  • You add two or more signers to a group and set the number of required signatures, for example “2 of 3 must sign.”

  • Every member of the group receives the document and can sign as usual.

  • When the required number of signatures is reached, the document completes, or the next signing order opens if you use one.

  • Members who haven’t signed are marked as no longer required. They stop receiving reminders, can still read the document, and receive the signed copy.

Example: A board resolution needs any two of three directors. Add the three directors to a group and set required signatures to 2. Whichever two sign first complete the group.

Before you start

  • Signing groups are available on the Enterprise plan.

  • Only signers can be in a group. The option appears once the document has at least two signers.

  • Groups are set up in the document or template editor while the document is still a draft.

Create a signing group

  1. Open the document in the editor and go to the recipients panel.

  2. Select Add, then Signing group.

  3. Enter a Group name.

  4. Select the signers who belong in the group.

  5. Set Required signatures. The number must be at least 1 and lower than the number of signers you selected. A line underneath confirms the rule, for example “2 of 3 signers must sign.”

  6. If the signers you selected have different signing orders, choose which Signing order the group will use. All members move to that order.

  7. Select Save.

You can also start from a signer. Open their ⋯ menu, select Add to group, then choose New signing group (that signer is already selected) or an existing group.

In a template, the steps are the same. Select Add, then Signing group, and choose from the template roles that have the Signer role. Documents created from the template keep the group.

Note: Save stays unavailable until at least two signers are selected. A signer who is already in another group is shown as unavailable, along with the name of their group. To move them, use their ⋯ menu.

Edit, move, or remove

  • Edit a group: Open the group’s ⋯ menu and select Edit group to change the name, members, or required signatures.

  • Move a signer to another group: Open the signer’s ⋯ menu and select Add to group. A check mark shows their current group. Choose another group to move them there.

  • Take a signer out of a group: Open their ⋯ menu and select Remove from group.

  • Remove a group: Open the group’s ⋯ menu, select Remove group, and confirm. The members stay on the document as individual signers, and each one needs to sign.

When a signer leaves a group, required signatures is adjusted if needed so it stays lower than the number of members. If fewer than two members would remain, you’re asked whether to remove the whole group.

Signing groups and signing order

  • All members of a group share one signing order, and the group appears at that position in the recipient list.

  • If you select signers with different signing orders, GetAccept asks which order the group should use and moves the members for you.

  • In Edit signing order, a group appears as one row. Changing it moves all members together.

  • When the group reaches its required signatures, the next signing order opens.

Check your groups before sending

GetAccept checks your groups when you send, and flags any group that needs attention with the group’s name and the reason. Common reasons are:

  • Members don’t share the same signing order.

  • Required signatures isn’t at least 1 and lower than the number of members.

  • A member’s role was changed from signer to something else.

To fix it, open the group’s ⋯ menu, select Edit group, review the members and required signatures, and save.

What signers see

  • Every group member receives the document and can sign as usual.

  • The signing page shows how many signatures are still needed.

  • Once the group has enough signatures, members who haven’t signed see a message that their signature is no longer required, instead of a sign button. They can still read the document and receive the signed copy, and their reminders stop.

  • Released members can’t add a signature afterward.

A group shows as many signature fields as it has required signatures. Any member can sign any open field, and the signed document shows only the signatures given.

Track progress after sending

  • The document view shows each group with its progress toward the required number of signatures.

  • The timeline records when a group reached its required number of signatures.

  • Groups are locked once the document is sent.

If a member rejects

A rejection counts against the group. The document stays open as long as the remaining members can still reach the required number of signatures. It’s rejected only when that is no longer possible. In a group where 2 of 3 must sign, one rejection leaves the document open and a second rejection rejects it.

The signature certificate

The certificate lists each signing group with its name and rule, for example “2 of 3 signatures required.” Each member is then shown as signed, rejected, or not required to sign. Members who weren’t required are named, with no signature block.

Frequently asked questions

Can approvers or viewers be in a signing group?
No. Signing groups are for signers only.

Can a signer be in more than one group?
No. Each signer can belong to one group per document.

Can I require every member of a group to sign?
Required signatures must be lower than the number of members. If everyone needs to sign, leave them as individual signers.

Can I use signing groups with a signing order?
Yes. See “Signing groups and signing order” above.

Why don’t I see the Signing group option?
Check that your plan includes signing groups, the document is still a draft, and it has at least two signers. If you created the document from the create flow, open it in the editor first.

Can I set up signing groups when I send from a CRM integration?
When creating a document from a template with signing groups, you can assign recipients to roles in a signing group from your CRM integration. Creating, deleting and updating signing groups must be done from within GetAccept.

Can I create documents with signing groups through the API?
Yes. See the developer documentation.
