Sending in GetAccept defines how recipients receive access to a document, how communication is delivered, and how engagement is measured. This article explains how sending logic works, how communication templates shape email and SMS messages, how recipient links are generated, and what influences your engagement score.


1. Communication Templates and Their Impact on Emails

Communication templates define the default email, SMS, and chat messages used when sending a document.


They are created and managed by admins in Settings → Communication templates.

What communication templates control

  • Email subjects and message text

  • SMS message content

  • Automated chat messages

  • Chat reminder timing

  • Tone, formatting, and structure of outbound communication

How they impact sending

  • When you send a document, the email and SMS messages come directly from the selected communication template.

  • Reminders (email and chat) also use the rules defined in the template.

  • Changing the communication template changes the default wording for all future send-outs based on that template.

Why this matters

  • Ensures messaging is consistent across teams

  • Gives recipients a predictable, branded experience

  • Reduces manual editing before sending

2. Recipient Link Logic (Unique Link per Recipient)

Every recipient receives their own unique access link, generated when the document is sent.

How unique links work

  • Each recipient gets a link tied to their identity and role

  • Opening the link displays only the content and fields meant for that specific person

  • Unique links track who viewed, when they viewed, and for how long

  • Audit logs and analytics rely on these individualized links

Forwarding behavior

  • If a recipient forwards their link:

    • Viewers may be asked to identify themselves

    • Access depends on the document’s visibility rules (standard vs private mode)

    • Activity from new viewers is tracked separately

Why unique links are important

  • Guarantees signer identity

  • Ensures correct field assignment

  • Enables detailed engagement tracking

  • Supports signature transfer rules when allowed
