How to Send a Document from HubSpot via GetAccept

A step by step guide when creating a sendout from the HubSpot integration

Step 1: Getting Started

  1. Navigate to a deal, contact, or company record in HubSpot.

    • These are the areas where the GetAccept integration is active.

  2. Find the GetAccept HubSpot CRM card on the right hand side of HubSpot.

    1. Note: It may be at the bottom of your screen, you can manually move it higher or ask a HubSpot admin to set GetAccept higher on the HubSpot view.

  3. Click on Create to start a sendout.

  4. Choose what type of content to send:

    • Contract: For proposals, quotes, contracts, etc.

    • Non-Signable Content: For presentations.

    • Deal Room: A place to streamline your sales process and share all relevant sales content. (Learn more about Deal Room in the app.)


Step 2: Using templates and/or adding documents and attachments

In this step, you can choose from the following options:

  • Use a Template: Select a premade template saved in your GetAccept entity.

  • Upload a Document or attachment: Add a new document or attachment from your computer or that is linked to the HubSpot object you are working from (e.g. a published quote).


Step 3: Adding Recipients

  1. The integration will automatically fetch the primary contact(s) associated with the HubSpot record.

  2. Template roles linked to the selected template will be shown in this step.

  3. Add additional recipients, if needed:

    • Use the search field to find and add more contacts to your sendout.

  4. When you’re done, click Next.


Step 4: Validate

  1. If using a GetAccept template with merge tags populated from HubSpot or pricing tables populated from HubSpot product line items, you will see this step.

  2. Fields and merge tags will be shown, if any are missing they will be highlgihted.

    1. Click "Show more" to see details if desired.

  3. Number of pricing tables and products synced from HubSpot to the GetAccept template will be highlighted.

Step 5: Adding Engagement & Personalization

  1. Before sending your document, you can customize the following:

    1. Document Name: Edit the document name to make it clear for recipients.

    2. Communication Template: Updates email content and other messages.

    3. Email Content: Personalize the email message that accompanies the document.

    4. Expiry Date: When the contract will expire.

    5. GetAccept Deal Value: Value linked to the GetAccept document. Taken from HubSpot.

  2. Optional: Add a face to your document and click "Record Video".

  3. Ability to preview the document before sending.

  4. Click Prepare to send.


Step 6: Sending Options

  • Open in GetAccept:

    • Redirect to app.getaccept.com to open the document as a draft. This allows for further edits before sending.

  • Sign and Share Document Link:

    • Seal the document and generate unique document links for each recipient.

    • The document will not be sent automatically; you can manually share the links as needed.

  • Sign and Send:

    • Seal and send the document immediately to the added recipients.


View Analytics and Track Engagement

  1. From the GetAccept CRM card in HubSpot, click on "Actions" under the contract you want to view analytics for.

  2. Click "Open Analytics".

  3. View the following information:

    1. Recipient Information

      • Example Recipient: Susan McShane (Role: Signer).

      • Displays the recipient's status, engagement level, and last active time.

    2. Status

      • The current document status, e.g., "Reviewed."

    3. Engagement

      • Shows how many times the recipient has viewed the document (e.g., "1 view").

    4. Last Active

      • Tracks the last time the recipient interacted with the document (e.g., "2 minutes ago").

    5. Time Spent on Every Page

      • Document content breakdown

    6. Update Pricing Table

      • Allows you to adjust or update pricing details for the contract with the latest product line item data from HubSpot.
