HiBob Integration with GetAccept

Overview

The HiBob integration with GetAccept allows you to automate employee onboarding by syncing signed agreements, personal information, and onboarding resources between the two platforms.

With this setup, you can:

  • Capture employee data from GetAccept templates and push it into HiBob.

  • Automatically create and store onboarding Deal Rooms for new employees.

  • Store signed documents in HiBob employee folders.


Step 1: Setup Your GetAccept Template

To use the integration, you need a GetAccept template for employee agreements.

  1. Go to GetAccept and create a new template.

  2. Add a tag, for example: new employee.

    • When a document with this tag is signed, it will be processed by the HiBob integration.

  3. Include all employee information fields that should be passed to HiBob in the template.


Step 2: Supported HiBob Fields

You can pass the following employee data into HiBob:

Employee Base Info

  • Firstname

  • Surname

  • Email

  • Phone number

Employee Work Info

  • Start date

  • Site

  • Department

  • Title

  • Reports To (ID)

Employee Home Info

  • Private email

Employee Address Info

  • Full address

Employee Payroll Info

  • Employment → Employment contract


Step 3: Setup GetAccept Onboarding Room

When a HiBob employee has been created, you can use a GetAccept Deal Room for onboarding.

  1. Create a Deal Room template in GetAccept.

  2. Copy the Deal Room template ID (from the URL).

  3. Store this ID for later use in the integration.


Step 4: Setup HiBob Custom Docs Folder

To store signed GetAccept documents in HiBob:

  1. Go to HiBob → Home → Docs → People’s Folder.

  2. Create a new folder.

  3. Copy the folder ID from the URL and save it.

  4. Apply conditions:

    • Select by condition: Lifecycle status = Any.

Each employee will automatically get their own folder for signed documents.


Step 5: Setup HiBob Service User

To connect HiBob and GetAccept, you need a service user with API permissions.


Step 6: Required Permissions

The HiBob service user must have the following permissions:

Features

  • Docs → Employee Folder (create, edit, delete)

  • Employees → Invite people to join HiBob

People Data

  • Docs → Your Custom Folder (view, edit, delete, upload)

  • People → Edit employees’ email addresses


Step 7: Setup the Integration

Contact GetAccept Sales to finalize the integration.

Provide the following details:

  • HiBob Service User ID

  • HiBob Service User Token

  • HiBob Folder ID

  • GetAccept Deal Room ID

  • Contact email
